Summary:

The Executive Assistant plays a critical, behind-the-scenes role providing support to the leadership team at LifePointe Church. This individual ensures the smooth day-to-day running of administrative systems, team communications, creative project coordination, and executive support tasks. The ideal candidate is proactive, highly organized, tech-savvy, and excels in managing multiple moving parts with grace and confidentiality.

Job Description:

LifePointe Christian Church is seeking a highly organized, detail-oriented Executive Assistant to provide direct support to the Senior Pastor and Executive Pastor, as well as the broader leadership team. This is more than an administrative role—it’s an opportunity to serve behind the scenes and help advance the mission of the church through excellent support, clear communication, and dependable follow-through.

Key Responsibilities:


Executive Support:

  • Manage the Senior Pastor’s and Executive Pastor’s calendar, appointments, and scheduling priorities.
  • Coordinate meetings, including agendas, note-taking, and follow-up communications.
  • Handle recurring planning and communication rhythms (e.g., weekly updates, annual reminders).
  • Reconcile credit card statements, and assist with budget and expense tracking.
  • Manage all aspects of travel—booking, planning, and documentation—while handling any issues that come up to help ensure each trip runs smoothly and supports the work being done.
  • Maintain a welcoming and well-organized office space for the Senior Pastor and Executive Pastor, including hospitality supplies and comfort preferences.

Administrative Systems & Operations:

  • Utilizes communications platforms effectively to keep the ministry team well informed.
  • Maintain access, passwords, and account details for various tools and platforms (email, scheduling, communication tools, and subscriptions).
  • Organize and manage digital files (Google Drive, Dropbox), ensuring team access and long-term clarity.
  • Track and manage shared calendars for regular staff meetings, and other leadership meetings.
  • Support the church’s administrative needs, including document handling, record keeping, and internal communication tools.

Project & Event Coordination:

  • Provide administrative and logistical support for special initiatives such as conferences, staff retreats, leadership development programs, and capital campaigns.
  • Track project timelines, coordinate schedules, and ensure successful execution of internal team initiatives.
  • Support the implementation of tools and resources used for team development and staff training.

Hospitality & Meeting Coordination:

  • Prepare meeting environments, including food, beverages, and hospitality supplies.
  • Coordinate meal orders and recurring team preferences for onsite and offsite meetings.
  • Proactively anticipate the needs of the Senior Pastor and Executive Pastor, as well as guest speakers, for meetings and events.


Qualifications:

  • 3+ years of experience in an executive support or high-level administrative role.
  • Exceptional organizational, communication, and time-management skills.
  • Proven ability to handle sensitive information with discretion and integrity.
  • Comfortable working independently and managing multiple priorities in a dynamic ministry environment.
  • Proficiency with cloud-based tools such as Google Workspace, Slack, Dropbox, and Asana.
  • Comfortable working in a Mac-based environment and a general tech-savviness are strong assets.
  • Familiarity with church or nonprofit operations is a plus, though not required.
